Hi I'm Drew and I'm going to show you around bcToolkit.
bcToolkit provides detailed and accurate reporting services for
your basecamp data.
By aggregating and analysing the amount of time spent across
users, projects and clients, businesses can grasp a better
understanding of how their time, and money, is spent across their
organization.
After logging in to bcToolkit you will see the
Dashboard... it's from here you can access the powerful reporting
features bcToolkit offers.
On the left you can see the number of users across your
projects, the number of projects you have open, and the number of
tasks or To-do items.
Across the top you have tabs for Time Recorded, Time by Client,
Time by User, Time by Projects, Project Time by Month and Time by
Category.
And the same duplicated below for easy access.
The reports provided by BC Toolkit are specifically designed to
highlight key performance indicators or KPI's, demonstrating the
health of your business and projects.
These performance indicators measure the efficiency and
productivity of your business through analysing how and where money
is spent throughout your organization.
Areas of weakness can be highlighted, and then monitored over
any time period. Lets take a look at them......
The Time Recorded tool lets you see each member of your team in
the organisation and the hours input over an allotted time period.
You can also drill down into those times and work out what tasks
time was spent on.
The Time By Client tab offers a very powerful report.
You can specify start and end dates for a date range. Down the
left you have your company names. And then you have different
measures of time and cost. The first column offers an estimate of
what you put in the square brackets on Basecamp.
The Actual is the amount of time you have logged against that
task.
The Cost is your hourly rate times your Actual time and the
Sales figure is your hourly ate times your Estimate time.
You also get a Progress percentage to show you how much of that
task is complete.
We've also put a handy feature in called Export as CSV. This
will export your report as a spread sheet so you can perform
further manipulation.
The Time By User Report allows you monitor progress on a project
per member of your team.
On the left you can choose a member of the team and then choose
whether to include Archived or Completed To-dos.
You can then Drill Down to the Company, the Project, To-do list
and task or To-do itself. You then see the Actual amount of time
spent in hours and the cost associated with it. You also get a
Progress bar which tells you how much of that project is completed
in percentage terms.
Again you can export that as a CSV.
The Time By Project report allows you to in one click see where
a project is up to and seamlessly update bcToolkit and Basecamp
projects in one go.
Start by selecting the Client name and the Project and hit View
Report.
This will generate a report for you; you can then go down the
task list showing everything you have worked on that project up to
this point.
You then have the estimated time pulled from Basecamp and the
Actual amount of time you have logged against that job.
Again you have a progress percentage column to show if the job
is almost complete.
One of the most powerful aspects of this report is you can
actually edit the Estimated Time within the report, this can be
changed to any figure to allow the reporting tool to update more
accurately.
Once changed simply hit Update Records, this will update both
your Cube report and Basecamp in one simple click.
You can then Export as CSV for further analysis.
Project Time By Month can help you keep up to date with billing
and invoicing.
The progress and costs allows you to keep your accounts in order
over the specified time frame.
Your billings can be exported for accountancy requirements.
You can drill down into each month to work out where the time
has been spent and the cost has occurred. For example if we look
into October and the user, we can see the tasks, the Actual amount
of time spent, the cost implications of this and how much of that
job was complete in that month.
Again you can Export as CSV for further analysis or for
Billing.
The Time by Category Tool is one of the most important and
powerful aspects of bcToolkit. It gives you the opportunity to
monitor projects and their component parts by tagging them with
predetermined keywords.
When you open the report you will see reporting features for
your company itself. On the left you can see different component
areas of the business. You can then see an Estimated time figure
for each area, a Sales figure attached to it, Actual amount of time
that you have spent within that area, a Cost implication and a
Progress. And below are easy to understand visual representations
of the business.
